About the role:
A key aspect of this role is engagement and you will serve as the main point of contact for various service partners, including Security and Dining Services, Landlords (when applicable), lines of business, and occupants. You will conduct effective engagement and communication with all parties involved, ensuring their needs and expectations are met. Additionally, you will act as a liaison between the facilities management team and service recipients, optimizing service delivery.
What this job involves:
[Facilities Operations Improvements and Maintenance]:
1. Understand and maintain contracts for necessary supplies and services based on site operational & technical requirements.
2. Coordinate churn work and minor projects for users and Global Real Estate Management.
3. Develop and monitor the Planned Preventative Maintenance program.
4. Ensure technical vendors comply with agreed progress, assisting with continuous maintenance of building procedures and performance measures.
5. Monitor and maintain all procedures and performance measures.
6. Support the annual Fire Drill and provide a comprehensive report.
7. Conduct proactive monthly site inspections and daily patrols to upkeep facility maintenance.
8. Provide emergency call support and on-site attendance, assisting with critical out-of-hours issues and participating in emergency responses in the machine room.
9. Follow escalation and incident reporting procedures, preparing incident reports.
[Workplace Transformation Strategies]:
1. Develop existing or onboard talented individuals to enhance the Workplace Experience Team's capabilities.
2. Implement technology and digital platforms to enable mobile operations and presence on occupant floors for the Workplace Experience team.
3. Foster a visible and engaged Workplace Experience Team.
4. Cultivate a proactive, responsive, dynamic, and agile team to ensure efficient operations.
[Unlocking Insights and Collaboration]:
1. Support local technical activities by regularly communicating and reporting with regional teams.
2. Establish and report on EHS and FLS programs, monitor energy, water, and waste usage for efficiency improvements, and identify cost-saving opportunities.
3. Monitor and manage staff performance based on criteria defined in Individual Performance Management.
[Customer Service / Client Relationships]:
1. Provide excellent customer service in support of the Country Lead.
2. Record and action feedback from client sessions to ensure satisfaction.
3. Proactively maintain service levels and manage client expectations.
4. Effectively resolve user complaints and concerns with appropriate solutions and follow-up.
[Procurement and Vendor Management]:
1. Oversee on-site contractors to ensure adherence to required standards.
2. Procure vendors and services as necessary to meet facility needs.
3. Maintain an up-to-date Contract Management Database consistently.
[Leadership/ Staff Management]:
1. Foster a collaborative environment that promotes teamwork, cooperation, performance excellence, and individual success.
2. Take a proactive approach to effectively manage the team and consistently deliver exceptional service to achieve customer satisfaction.
3. Develop the team by conducting performance assessments, providing training opportunities, allocating resources efficiently, and creating a succession plan for key team members and on-site vendors.
4. Maintain or surpass SLA/KPI targets by recruiting and retaining highly skilled employees, upholding company standards, and monitoring suppliers/service providers for adherence to contractual obligations.
